DRIVER FILE MANAGEMENT SERVICES
CDL Expiration
Tracking CDL expiration dates is essential to ensure your drivers remain legally qualified. Our CDL expiration management service includes:
Monitoring CDL expiration dates.
Sending reminders at 45 days, 14 days, and on the expiration date to avoid any lapses.
Maintaining up-to-date CDL copies in each driver’s file.
FMCSA Queries
Carriers are required to complete a limited query every 365 days for each driver. We manage this process for you by:
Conducting both "Full" and "Limited" queries at the appropriate intervals.
Storing copies of all queries in each driver’s DQF.
Setting up expiration tracking reminders to ensure ongoing compliance.
Annual Certifications
In addition to MVR reviews, each driver must report any moving violations they've received in the past 12 months. We support your compliance by:

Need a Medical Card renewal update?
A driver's medical certificate typically expires every 1 to 2 years, requiring more frequent attention. We assist managing compliance by:
-Tracking medical certificate expiration dates.
-Setting reminders at 45 days, 14 days, and on the expiration date.
-Ensuring drivers submit their medical certificates to the DMV.
Verifying the medical examiner's qualifications through the NRCME.

Important Notices
1. The $100 fee includes the cost of the Drug Test, but additional expenses may apply:
- $2.50 | Purchase of (1) Clearinghouse Queries
- $75.00 | Alcohol Test (Only required if the driver’s SAP Counselor mandates both Drug and Alcohol testing. This will be billed to the driver before the test is scheduled.)
2. We will schedule the test as close to your preferred zip code as possible, but we cannot accommodate personal location preferences. Tests must be conducted at a facility within our network. We are unable to use facilities outside of this network.
3. There is currently a shortage of male medical staff to assist with observed testing. If a facility does not have a male staff member available, please ask if you can reschedule for a later time when one is on duty. If they cannot accommodate this, contact us, and we will arrange for testing at another location.
4. Not all facilities offer Alcohol Testing. If your SAP Counselor requires both Drug and Alcohol tests, your screening may be scheduled at a facility farther from you than expected.

When creating a new employer account in Clearinghouse, you must enter a company name.

DOT # isn’t needed for the Return to Duty Test | Only needed if you plan to do your Follow-Up Testing with DEDICATED OFFICE TEAM
The driver will receive assistance with Clearinghouse and RTD Drug Screening. The cost covers the Drug Test. Once completed, the driver's Clearinghouse will be updated to show either Negative or Positive results. A Negative result will mark the driver as "Not Prohibited" in Clearinghouse, while a Positive result will leave the driver prohibited and add a violation.
